How I look after your information.
This notice explains what personal information I hold, why I hold it, who I share it with, how long I keep it and what your rights are. It covers my casework, the forms on this website and the website itself.
Last updated 28 October 2026Who is responsible for your information
I am Cllr Akhtar Kasia, the Independent Councillor for Batley East on Kirklees Council. As an elected councillor I am responsible for the personal information I hold when helping residents, separately from Kirklees Council itself. You can contact me about anything in this notice at akhtar.kasia@kirklees.gov.uk or on 07790 548607.
1. Casework
What I hold: when you ask me for help, by email, phone, WhatsApp or in person, I record your name, contact details, address or postcode and the details of your issue, along with my correspondence about it.
Why: to act on your behalf as your elected representative. Where your issue involves sensitive information, such as your health, I use it only to help with the matter you have raised.
Who sees it: I share only what is needed to resolve your issue, usually with Kirklees Council officers, and where relevant with bodies such as the police, the NHS or your housing provider. I do not sell your information or use it for anything else.
Where it is kept: in my private, password protected casework system.
What is published: the casework log on this website shows only the date, category, status, a short case title, how the case reached me and the postcode area. Names, phone numbers, email addresses, house numbers and correspondence are never published.
How long: while I am your councillor. Casework is securely deleted within six months of my term of office ending, unless you ask me to delete it sooner and I no longer need it to finish your case.
2. The Community Emergency Register
What I hold: the details you give on the emergency register form, including your name, mobile number, postcode, the skills or equipment you can offer and when you are usually available.
Why: with your consent, so that local help can be found quickly in a genuine emergency. You can withdraw your consent at any time.
Who sees it: me. In a genuine emergency, I will share only the details needed with the emergency services or Kirklees Council’s emergency planning team.
Where it is kept: in Google Drive, using Google’s services.
How long: I review the register every twelve months and ask everyone on it to confirm they still want to be included. If you do not confirm, your details are deleted.
3. Local consultations, such as Purlwell
What I hold: the name, street or area, optional email address and views you give on consultation forms such as the Purlwell community space page.
Why: with your consent, to understand local views and report them, in summary and without names, to the Council.
Where it is kept: in Google Drive, using Google’s services.
How long: until the project concludes, and no longer than twelve months after the consultation closes.
4. Ask Your Councillor cards
What I hold: pupils who fill in an Ask Your Councillor card give their first name, their school, their year group and their idea. The card asks them not to include their full name, address or any other personal information.
Why: to group pupils’ ideas, raise them with Kirklees Council and report back to each school on what happened.
Who sees it: me, and the school the card came from. Ideas may be shared with the Council or quoted on this website, but never with a pupil’s name attached.
How long: cards are kept securely until the ideas have been grouped and reported back to the school, and are then destroyed. No card is kept for more than twelve months.
5. This website
